Texas Health Resources Records Management Supervisor - Full Time Days - Arlington in Arlington, Texas

Texas Health Resources seeks to hire a Records Management Supervisor to work Full Time Days in the Health Information Management Department.

The address is 500 East Boarder Street, Arlington, TX 7610.

Salary range is Min: $25.47/hour to Max: $42.35/hour – based on relevant experience.

Work Hours/Schedule

  • Full Time

  • Monday – Friday; 8:30 am – 5:00 pm; Occasional weekend coverage, On-Call Rotation

Essential Functions:

Oversight of retrieving medical records, preparing documents for scanning into the electronic document management system. Responsible for quality of images for the enterprise and retention in accordance with state laws and policies.

Operations:

  • Supervises day-to-day operations of document collection and prepping, ensuring records are received from entities for document imaging.

  • Supervises document imaging auditing and document corrections.

  • Provide support to entity operational leaders in the development of medical record forms and templates.

  • Maintains a current inventory of forms, document types, and EHR links.

  • Monitors turn-around-time of documents prepped for scanning.

  • Monitors turn-around-time of scanning and correction queues.

  • Monitor and adjust work queues based on criticality and document type.

  • Monitor productivity metrics for RM and provide timely feedback to improve performance.

  • Adjust staffing to meet turn-around-time and Key Performance Indicators/Metrics.

  • Acts as subject matter expert for staff within the RM department.

  • Initiate the development and implementation of policies and procedures.

  • Develop and implement training material for document preparation and scanning for HIMS and non-HIMS staff to ensure standardization enterprise-wide.

  • Develops, implements, and monitors schedules for 90-day destruction of scanned documents according to State laws and THR’s policies.

  • Records Retention Schedule to ensure standardization enterprise-wide.

  • Manages RM Sharepoint site providing electronic access to education, procedures, etc.

Continuous Improvement:

  • Analyze work product of staff to ensure adherence to THR Policies and Procedures.

  • Identify quality trends and provide timely feedback and education of quality review results.

  • Design, maintain, and monitor quality metrics.

  • Evaluate competency of staff and provide feedback, as appropriate.

  • Coordinate with employee education and development of skills.

  • Collect and analyze data from various data sources,

  • Provide valid and accurate data to HIMS Leadership.

  • Participate in monthly Reliability Rounding of staff to identify opportunities for improvement.

  • Develop and implement audit plans and schedules for document accuracy enterprise-wide, providing timely feedback when appropriate.

Management of Human Resources:

  • Monitor time and attendance of employees, document improvement needed and provide counseling as needed for improvement.

  • Assists manager to include interviewing and selection of employees.

  • Coaching and mentoring employees in order to improve performance and professional growth.

  • Manage staffs’ skills in building relationships and responding to internal and external requestors/customers.

  • Provide open communication to staff.

  • Collaborate with manager in change management at the staff level.

  • Create and fostering an environment that supports THR’s mission, vision and values. This includes promoting a professional image in demeanor, appearance, attitude, and behaviors.

System Maintenance:

  • Assist with system upgrades and workflow enhancement.

  • Trouble shoot technical issues and escalate to ITS, as appropriate.

  • Partner with ITS to leverage technology to increase productivity and quality outcomes.

  • Subject Matter Expert with document management system.

  • Create and follow up service tickets with the help desk to ensure the correct assignment of security for employees, vendors, etc. as needed.

Qualifications

The ideal candidate will possess the following qualifications:

  • Associate’s Degree in Health Information Management or related field required and

  • 3 years of Health Information Management Services or related healthcare field experience required and

  • Previous leadership experience preferred

Licenses and Certifications:

  • RHIT – Registered Health Information Technician upon hire required or

  • RHIA – Registered Health Information Administrator upon hire required

Skills :

  • Strong knowledge of HIM processes in an electronic environment. Knowledge of Center for Medicare and Medicaid Services and Joint Commission medical record content requirements.

  • Strong problem solving/critical thinking skills.

  • Ability to troubleshoot, isolate and lead resolutions to issues.

  • Knowledge of data collection and analysis and ability to compile and report statistical data.

  • Ability to initiate action, creatively solve problems, meet goals, and produce results through effective supervision of employees.

  • Working knowledge of a document imaging system and electronic health record.

  • Advanced skills in Microsoft Excel and Power Point. Effective oral and written communication skills.
